The Upper Darby Arts & Education Foundation (UDAEF) is a nonprofit organization dedicated to transforming lives through inclusive arts and education experiences that empower young people and strengthen community connection.
UDAEF supports and operates several long-standing and emerging programs, including Upper Darby Summer Stage, Schoener MusicMan Academy, and the SPARC—a new year-round community arts hub in Upper Darby launching in Spring 2026. Together, these programs serve thousands of students, families, artists, and community members each year.

Why This Role Matters
The Part-Time Bookkeeper plays a critical role in the financial health and integrity of UDAEF. This position ensures that day-to-day financial activity is accurately recorded, properly allocated, and clearly reported—supporting leadership decision-making, Board oversight, funder compliance, and public accountability.
This is not a passive data-entry role. The Bookkeeper is a trusted financial partner who helps keep the organization’s “financial story” clean, accurate, and understandable as UDAEF experiences growth, grant funding, and multiple programs and revenue streams.
Reporting & Governance Structure
The Part-Time Bookkeeper reports directly to the Executive Director for day-to-day accounting operations and workflow prioritization.
In addition, the position maintains a dotted-line reporting relationship to the Board of Directors, supporting the Board’s fiduciary responsibilities and commitment to strong nonprofit governance. This may include assisting with Board or Finance Committee financial reporting, audit preparation, or responding to financial questions in coordination with the Executive Director.
Primary Responsibilities
Day-to-Day Bookkeeping & Transaction Management
Record and maintain all financial transactions in QuickBooks Online
Process accounts payable from a variety of sources
Record and categorize deposits from a variety of sources
Maintain organized digital documentation and supporting records
Monthly Close & Reconciliations
Perform monthly account reconciliations
Review transactions for accuracy, consistency, and proper allocation
Prepare draft monthly financial statements
Support timely and reliable month-end close processes
Nonprofit, Fund & Grant Accounting
Track restricted and unrestricted funds
Support grant, government, and donor-restricted funding compliance (ARPA, CDBG, etc.)
Assist with scholarship, program, and class-level accounting
Maintain accurate program, class, and project allocations to support clear reporting
Payroll, Compliance & Audit Support
Coordinate payroll journal entries and allocations
Support compliance with nonprofit accounting standards and funder requirements
Assist with year-end audit preparation and Form 990 support in collaboration with external accountants
Board & Leadership Support
Support preparation of financial reports for both Staff and Board of Directors
Respond to Board-level financial questions, as appropriate, in coordination with the Executive Director
Uphold best practices in transparency, accountability, and financial stewardship
Systems, Controls & Continuous Improvement
Work closely with the Executive Director on financial questions and planning
Identify opportunities to improve accounting workflows, documentation, and internal controls
Support a culture of accuracy, clarity, and shared responsibility for financial health
Qualifications & Experience
Required
Minimum of 3 years of bookkeeping or accounting experience
Demonstrated experience working with nonprofit organizations
Proficiency with QuickBooks Online and Microsoft 365
Strong attention to detail and organizational skills
Ability to work independently, manage deadlines, and communicate clearly
High standards of professionalism, integrity, and confidentiality
Preferred
Experience with restricted funds and grant reporting
Familiarity with small to mid-sized nonprofits
Experience supporting audits or working with CPAs
Comfort working in a growing, evolving organization

UDAEF is seeking a Building Manager to help bring SPARC to life every day.
This is a highly visible, hands-on role at the center of SPARC’s daily operations. The Building Manager is responsible for the smooth functioning of the building - from welcoming guests at the front desk, to preparing spaces for classes and events, to ensuring the facility is safe, clean, and ready for whatever the day brings.

What You’ll Do
Be the Heart of the Building
Provide front-line reception and guest support during open hours
Serve as a primary point of contact for teachers, students, families, artists, and partners
Create a welcoming, organized, and professional first impression for all visitors
Prepare & Support Programs and Events
Set up, reset, and break down rooms for classes, rehearsals, meetings, and events
Coordinate daily schedules and space needs with instructors, administrators, and volunteers
Anticipate needs and respond quickly to changes or last-minute requests
Keep SPARC Running Smoothly
Ensure the building is clean, safe, and operating properly at all times
Monitor facilities issues and coordinate with vendors, custodial services, and contractors
Support safety protocols, incident response, and basic building operations
Coordinate People & Details
Work closely with the SPARC Administrative Director and UDAEF staff to align daily operations
Support and coordinate volunteers and part-time support staff as needed
Track supplies, manage basic inventory, and flag needs proactively

The Marketing Coordinator is responsible for keeping UDAEF’s marketing work aligned, energized, and moving forward— coordinating people, priorities, and platforms while helping tell powerful stories that also support a sustainable business model.

Develop and manage an integrated marketing calendar across all UDAEF initiatives

Directly supervise and mentor two part-time Junior Marketing Coordinators

Work with the Executive Director to manage the marketing budget
